RapidDismiss respects the privacy of schools, staff, students, parents, and guardians. This Privacy Policy explains what information we collect, how we use it, how we protect it, and what choices schools and users have.

RapidDismiss is a school dismissal management platform designed to help schools manage student dismissal safely, efficiently, and in real time.

This policy applies to the RapidDismiss website, platform, and related services.

2. Who Uses RapidDismiss

RapidDismiss is intended for use by authorized school and district personnel. Depending on how a school chooses to use the platform, authorized users may include administrators, teachers, office staff, dismissal staff, transportation staff, and other approved school employees.

Students are not required to create accounts or directly submit personal information in order for a school to use RapidDismiss.

If parent or guardian access is added in the future, this policy will be updated to clearly explain what parent or guardian information is collected and how it is used.

3. Information We Collect

RapidDismiss collects only the information needed to provide dismissal management services to schools and districts.

The types of information we may collect include:

School and Staff Account Information

We may collect information from authorized school users, such as:

  • Name
  • School email address
  • School or district name
  • Role or permission level
  • Login credentials
  • Activity related to use of the platform

Student Dismissal Information

Schools may provide limited student information needed for dismissal operations, such as:

  • Student name
  • Grade level
  • Teacher or classroom
  • Dismissal group
  • Transportation method
  • Assigned dismissal location
  • Car rider, bus rider, walker, after-school program, or other dismissal category
  • Dismissal status or history
  • Notes provided by the school that are necessary for safe dismissal

RapidDismiss does not require schools to provide Social Security numbers, academic grades, medical records, disciplinary records, financial information, or unnecessary sensitive student information.

Parent, Guardian, or Authorized Pickup Information

If a school chooses to enter pickup-related information, RapidDismiss may process limited information such as:

  • Parent, guardian, or authorized pickup name
  • Vehicle or car rider information
  • Pickup authorization notes provided by the school
  • Other information the school determines is necessary for safe dismissal

Schools are responsible for deciding what information is entered into RapidDismiss and for making sure they have the authority to use that information for school dismissal purposes.

Technical Information

When users access RapidDismiss, we may collect basic technical information such as:

  • IP address
  • Browser type
  • Device type
  • Date and time of access
  • Pages or features used
  • System logs
  • Error reports
  • Security and login activity

This information helps us operate, secure, improve, and troubleshoot the platform.

4. How We Use Information

RapidDismiss uses collected information only to provide and improve the dismissal management service.

We may use information to:

  • Help schools manage student dismissal
  • Display real-time dismissal updates to authorized school users
  • Organize students by dismissal method, classroom, grade level, or location
  • Help school staff search for students during dismissal
  • Maintain dismissal records or activity logs
  • Manage user accounts and permissions
  • Provide customer support
  • Troubleshoot technical issues
  • Improve platform performance and reliability
  • Protect the security of the platform
  • Comply with legal obligations

5. Student Data Belongs to the School or District

Schools and districts remain the owners and controllers of student data provided to RapidDismiss.

RapidDismiss acts as a service provider to the school or district. We process student information only to provide the services requested by the school or district and only as permitted by applicable law, school policy, and our agreement with the school or district.

RapidDismiss does not claim ownership of student records.

6. How We Do Not Use Student Data

RapidDismiss does not sell student personal information.

RapidDismiss does not use student data for:

  • Targeted advertising
  • Behavioral advertising
  • Commercial profiling
  • Marketing unrelated to the school's use of RapidDismiss
  • Selling or renting information to third parties
  • Creating unrelated consumer profiles
  • Training public artificial intelligence models

Student information is used only to support school-authorized dismissal and safety operations.

7. FERPA, COPPA, PPRA, and Student Privacy

RapidDismiss is designed to support schools and districts in meeting their student privacy responsibilities.

When student information is provided by a school or district, RapidDismiss uses that information only for school-authorized purposes related to dismissal management.

RapidDismiss will work with schools and districts to support compliance with applicable student privacy laws and policies, including FERPA, COPPA, PPRA, and applicable state student privacy laws.

Parents, guardians, or eligible students who want to access, correct, or request deletion of student information should contact their school or district directly. Because RapidDismiss operates at the direction of the school or district, we will work with the school or district to respond to authorized requests.

8. How We Share Information

RapidDismiss shares information only when necessary to provide the service, protect users, comply with the law, or follow the direction of the school or district.

We may share information with:

Authorized School or District Users

Information may be visible to authorized school or district users based on their role and permissions.

Service Providers

We may use trusted service providers to help operate, host, secure, support, or maintain RapidDismiss. These providers may only access information as needed to perform services for RapidDismiss and must protect the information appropriately.

Legal or Safety Requirements

We may disclose information if required by law, court order, subpoena, legal process, or to protect the safety, rights, or security of students, schools, users, RapidDismiss, or others.

With School or District Direction

We may share, return, export, or delete data at the direction of an authorized school or district representative.

RapidDismiss does not share student data with advertisers or unrelated third parties.

9. User Accounts and Access Controls

RapidDismiss uses role-based access so that users see only the information appropriate for their role.

Schools and districts are responsible for:

  • Choosing who receives access
  • Assigning appropriate user roles
  • Removing access when staff members leave or no longer need the platform
  • Keeping login information secure
  • Not sharing user accounts between staff members

Users should keep their login credentials confidential and notify RapidDismiss or their school administrator if they believe an account has been accessed without permission.

10. Data Security

RapidDismiss uses reasonable administrative, technical, and physical safeguards designed to protect school and student information.

These safeguards may include:

  • Secure login
  • Role-based access permissions
  • Encrypted connections
  • Limited access to student data
  • Activity logs or dismissal history
  • Security monitoring
  • Data backups
  • Ongoing review of security practices

No online system can guarantee complete security. However, RapidDismiss is committed to protecting school and student information and responding quickly to potential security concerns.

11. Data Retention and Deletion

RapidDismiss retains information only as long as needed to provide services to the school or district, maintain security, comply with legal obligations, resolve disputes, or support legitimate operational needs.

Upon written request from an authorized school or district representative, RapidDismiss will delete, return, or export student data, subject to limited backup, security, legal, or technical retention requirements.

RapidDismiss removes deleted records from the active application environment immediately. According to Base44's published documentation, deleted database records may remain recoverable through the Base44 platform for up to 30 days before permanent removal.

Base44's published documentation and Data Processing Addendum describe its general data-handling and deletion practices. Base44 has not provided RapidDismiss with a specific maximum backup-retention period or a process for selectively removing one school's information from backups. Information may remain in platform backups according to Base44's documented backup and data-handling practices. RapidDismiss does not use backup copies for ordinary business operations.

If a school or district stops using RapidDismiss, the school or district may request deletion or export of its data.

Deletion requests require administrator email verification, a typed confirmation, and a 7-calendar-day waiting period before permanent deletion occurs. During the waiting period, any administrator can cancel the request. A minimal audit record is retained after deletion containing the school name, requesting administrator, request date, verification date, scheduled deletion date, cancellation date (if applicable), completion date, final status, and general categories of data deleted. The audit record does not retain student names, student numbers, dismissal records, uploaded rosters, or other school operational data.

After the school association and school records are removed, active real-time subscriptions can no longer retrieve or receive school data.

RapidDismiss removes references to uploaded files from the active application when school data is deleted. Base44 Support may be able to assist with removing any remaining stored files on a case-by-case basis. Cached copies may remain briefly accessible until the content delivery network cache clears.

Record Retention

RapidDismiss applies separate retention categories to different types of records:

  • Contact submissions: Ordinary contact form submissions are retained for 12 months after the date of submission, after which they are automatically deleted from active systems. Submissions may be deleted earlier upon request.
  • Billing and refund communications: Records related to billing, payments, and refunds are retained according to applicable financial-record requirements and are not subject to the 12-month contact submission retention schedule.
  • Deletion audit records: Records documenting school data deletion requests and completion are retained for an audit period that is pending legal approval. Once a specific duration is selected and approved by counsel, it will be published here. These records contain only non-sensitive audit metadata (school name, requester email, dates, status, and general data categories deleted) and do not retain student-level data.
  • Spam and honeypot submissions: Contact form submissions flagged as spam or caught by honeypot detection are not stored in any database.
  • Submissions containing unnecessary student information: If a contact form submission is found to contain unnecessary student information (such as student names or identification numbers), it is flagged for prompt review and removal, and is not retained for the standard 12-month period.

Contact submissions are stored securely and are accessible only to authorized RapidDismiss personnel. They are not visible to school administrators, teachers, staff, or other application users.

12. Data Breach or Security Incident Notification

If RapidDismiss becomes aware of unauthorized access to school or student data, we will notify the affected school or district without unreasonable delay.

We will work with the school or district to investigate the issue, take appropriate steps to reduce harm, and comply with applicable legal requirements.

13. Cookies and Analytics

RapidDismiss may use cookies or similar technologies to help the website and platform function properly, improve performance, remember user preferences, support secure login, and understand general website usage.

RapidDismiss does not use cookies or analytics tools to target advertisements to students.

Users may be able to adjust cookie settings through their browser, but some features of the platform may not work properly if certain cookies are disabled.

14. Children's Privacy

RapidDismiss is intended to be used by schools and authorized school personnel for school-authorized dismissal purposes.

Students do not create accounts or directly submit information to RapidDismiss. Student information is provided by the school or district for operational school purposes.

RapidDismiss does not knowingly collect personal information directly from children for unrelated commercial purposes.

15. Parent and Guardian Requests

Parents and guardians who have questions about student information in RapidDismiss should contact their child's school or district.

The school or district controls the student information entered into RapidDismiss. RapidDismiss will work with the school or district to respond to authorized parent, guardian, or eligible student requests.

16. District Privacy Agreements

RapidDismiss will work with schools and districts to complete reasonable vendor forms, student data privacy agreements, security questionnaires, and approval processes required by district policy or applicable law.

If a school or district requires a separate written agreement, that agreement may provide additional privacy or security terms.

17. Links to Other Websites

The RapidDismiss website may contain links to other websites. RapidDismiss is not responsible for the privacy practices, content, or security of third-party websites.

Users should review the privacy policies of any third-party websites they visit.

18. Changes to This Privacy Policy

RapidDismiss may update this Privacy Policy from time to time.

When we make updates, we will revise the "Last Updated" date at the top of this page. If changes are significant, we may provide additional notice to schools or users.

Continued use of RapidDismiss after changes are posted means the updated policy applies.
